Sentinel Intelligence · The data portal behind every engagement

Your buildings deserve a system of record, not another PDF.

Sentinel Intelligence is the live, structured data layer beneath every assessment, inspection, trade visit, and engineering report we touch. Seven integrated modules turn years of building activity into a single queryable record, readable by every stakeholder, refreshed continuously.

Single source of truth

  • ·One record per building, versioned over time
  • ·Photo & GPS evidence on every observation
  • ·Role-based views for council, manager, broker
  • ·Export to PDF only when paper is required
  • ·Data residency: Canada
01 // Why a portal, not a PDF

A building's history shouldn't live in someone's inbox.

Most multi-family buildings in BC are managed from a patchwork of static reports, email threads, and binders that get re-keyed every time a manager changes. Sentinel Intelligence replaces that with a structured record that grows with the building every observation, work order, certificate, and decision attached to the asset it belongs to.

We don't sell the portal as a product. It's the substrate of every Sentinel engagement: the same data we use to run quarterly oversight is the data your council, manager, and broker get to read.

02 // The seven modules

Seven modules. One record.

Each module handles a distinct job, but they share the same building record underneath, so a deficiency logged in the field instantly updates the capital plan, the compliance ledger, and the council dashboard.

Module 01

Master Record

Every building, structured from day one.

A single, versioned profile per building: assemblies, ages, drawings, warranties, manuals, key contacts, and ownership history. Replaces the binder of PDFs no one can find.

Inputs

  • · Initial Asset Assessment
  • · Owner / strata documents
  • · Permit & warranty packages

Outputs

  • · Building dossier
  • · Assembly inventory
  • · Document vault with audit trail

Module 02

Deficiency Engine

From photo to work order, without retyping.

Every observation (quarterly inspection, trade callback, council report) is logged once, classified by system, severity, and risk, and tracked through to closure with photo evidence.

Inputs

  • · Field observations
  • · Trade reports
  • · Council & resident input

Outputs

  • · Tracked deficiencies
  • · Photo + GPS evidence
  • · Status from open → resolved

Module 03

Capital Planner

Depreciation reports that stay alive.

Component inventory tied to remaining service life, replacement cost, and funding scenarios. The depreciation report becomes a working planning tool, refreshed continuously as the building changes.

Inputs

  • · Component conditions
  • · Cost benchmarks
  • · Reserve fund data

Outputs

  • · 30-year capital forecast
  • · Funding scenarios
  • · Statutory depreciation report

Module 04

Compliance Ledger

Strata Property Act §94, on a calendar.

Maps every statutory and insurance obligation (depreciation reports, fire/life safety, elevators, anti-tampering, envelope warranties) to a schedule with owners, evidence, and renewal alerts.

Inputs

  • · Regulatory schedules
  • · Insurance policy terms
  • · Vendor certificates

Outputs

  • · Compliance calendar
  • · Evidence library
  • · Renewal & expiry alerts

Module 05

Trade & Engineer Hub

One coordinated record across vendors.

Quotes, scopes, schedules, certificates of insurance, warranty docs, and sign-offs from every trade and consultant, attached to the deficiency or component they relate to, not buried in email.

Inputs

  • · Trade quotes & invoices
  • · Engineering reports
  • · COI & WCB documents

Outputs

  • · Vendor scorecards
  • · Project timelines
  • · Warranty register

Module 06

Portfolio Benchmarking

See one building in context.

Anonymized cross-portfolio analytics on deficiency rates, capital spend, envelope performance, and depreciation curves, so a strata management firm can see how one building compares to peers in age, type, and exposure.

Inputs

  • · All Sentinel-managed buildings
  • · Anonymized cost data
  • · Climate & exposure data

Outputs

  • · Cohort comparisons
  • · Risk heatmaps
  • · Spend benchmarks

Module 07

Stakeholder Access

The right view for every reader.

Council, manager, owner, broker, and engineer each see a tailored slice of the same record. No PDF re-issues, no version mismatch. Read-only by default, with controlled export when paper is required.

Inputs

  • · Role definitions
  • · Building & portfolio scope
  • · Access policies

Outputs

  • · Role-based dashboards
  • · Shareable links with expiry
  • · Audit log of all access
03 // How data moves

One observation. Four cascading updates.

A single sealant failure caught on a quarterly walk doesn't just become a line in a report, it propagates through the modules that care about it.

  1. 01

    Capture in the field

Inspectors and trades log observations, photos, and measurements directly into the portal, structured by system and assembly, not freeform notes.

  2. 02

    Classify & route

The Deficiency Engine assigns severity, owner, and trade discipline. The Compliance Ledger checks whether the finding triggers a statutory obligation.

  3. 03

    Plan & price

The Capital Planner updates remaining service life and reserve impact. The Trade Hub pulls quotes against the right scope and warranty terms.

  4. 04

    Publish to stakeholders

Stakeholder Access serves the right view to council, manager, broker, and engineer. No version mismatch, no re-issued PDFs.

04 // Stakeholder access

Same record. Right view per role.

Council members shouldn't have to read a 200-page engineering report to make a budget decision. Brokers shouldn't need to re-underwrite from scratch every renewal. Each stakeholder gets a view tuned to the decisions they're actually making, drawn from the same source data.

Strata council

Building dashboard, open deficiencies, capital horizon, compliance status

Strata manager

Work orders, vendor coordination, document vault, council-ready summaries

Owner / portfolio

Cross-building rollups, spend benchmarks, reserve forecasts

Engineer / consultant

Assembly history, prior reports, evidence library, scoped read-write

Insurance broker

Risk profile, completed remediation, depreciation status, certificates

Trade contractor

Assigned scope, photos, sign-off, and warranty submission only

Is the portal a separate product I'd license?+

No. Sentinel Intelligence is included in every stewardship engagement. We use it to do the work, and you get to read it.

Where does the data live?+

Canadian data centres, with role-based access controls and a full audit log of every read and write.

Can I export to PDF if my council needs paper?+

Yes. Every view exports to a clean, signed PDF on demand. But the live portal stays the source of truth.

What happens to the record if we stop working with Sentinel?+

You leave with a full export of your buildings' data, structured, not just PDFs. The record is yours.

Does it replace our property management software?+

No. It sits alongside it. Sentinel Intelligence focuses on the physical asset, while your PM software handles tenants, ledgers, and finance.
