Sentinel Property Services Inc. is committed to protecting your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).
PIPEDA: 10 Fair Information Principles
1. Accountability (Principle 4.1)
Sentinel Property Services Inc. is responsible for all personal information under its control. We have designated a Privacy Officer to oversee compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and this policy.

2. Identifying purposes (Principle 4.2)
We identify the purposes for which we collect personal information at or before the time of collection. We collect personal information for the following purposes:
• Responding to inquiries submitted through our contact form • Delivering building stewardship, inspection, and assessment services • Communicating project updates relevant to your property • Improving our website and understanding how visitors use it • Fulfilling legal and regulatory obligations
If we identify a new purpose for previously collected information, we will seek your consent before using it for that purpose, unless an exception under PIPEDA applies.
3. Consent (Principle 4.3)
We obtain your knowledge and consent before collecting, using, or disclosing your personal information, except where permitted or required by law. Consent may be express (for example, checking the consent box on our contact form) or implied (for example, providing your business card).
You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. If you withdraw consent, we will inform you of the likely consequences.
4. Limiting collection (Principle 4.4)
We limit the collection of personal information to what is necessary for the purposes we have identified. We collect information by fair and lawful means. Our contact form collects only your name, email, organization, role, and message content.
5. Limiting use, disclosure, and retention (Principle 4.5)
We do not use or disclose personal information for purposes other than those for which it was collected, except with your consent or as required by law.
We retain personal information only as long as necessary to fulfill the identified purposes or as required by law. When personal information is no longer needed, it is securely destroyed, erased, or anonymized.
6. Accuracy (Principle 4.6)
We keep personal information as accurate, complete, and current as necessary for the purposes for which it is used. You may request corrections to your personal information at any time by contacting us.
7. Safeguards (Principle 4.7)
We protect personal information with security safeguards appropriate to the sensitivity of the information. These include:
• Technical measures: encrypted transmission (TLS), access controls, and secure hosting infrastructure • Administrative measures: staff training, internal policies limiting access on a need-to-know basis • Physical measures: restricted access to any premises where personal data is stored
8. Openness (Principle 4.8)
We make information about our privacy policies and practices readily available. This Privacy Policy is published on our website and can be accessed at any time. We will update it as our practices evolve and will note the effective date of each version.
9. Individual access (Principle 4.9)
Upon written request and subject to identity verification, you have the right to:
• Know whether we hold personal information about you • Receive a copy of your personal information • Be informed of how your information has been used or disclosed • Request correction of any inaccuracies
We will respond to access requests within 30 days as required by PIPEDA. If we cannot provide access, we will explain the reasons and any recourse available to you.
10. Challenging compliance (Principle 4.10)
You may challenge our compliance with this policy by contacting our Privacy Officer. We will investigate all complaints and respond within a reasonable timeframe.
If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.
CASL: Commercial Electronic Messages
Consent under CASL
In compliance with Canada's Anti-Spam Legislation (CASL), we obtain your express consent before sending commercial electronic messages. When you submit our contact form you explicitly opt in to receive email communications related to your inquiry and our building stewardship services. We will never send unsolicited commercial messages without your prior consent.
Your right to withdraw consent
You may withdraw your consent to receive commercial electronic messages at any time. Every email we send includes a clear unsubscribe mechanism. You may also withdraw consent by emailing info@sentinelpropertygroup.ca. We will process withdrawal requests within 10 business days, as required by CASL.
Sender identification
All commercial electronic messages sent by Sentinel Property Services Inc. include our legal name, mailing address, and a valid contact method, as required under CASL. Our messages clearly identify Sentinel Property Services Inc. as the sender.
Additional Provisions
Breach of security safeguards
In accordance with PIPEDA Division 1.1 (Sections 10.1 to 10.3) and the Breach of Security Safeguards Regulations (SOR/2018-64), if we determine that a breach of security safeguards involving your personal information creates a real risk of significant harm, we will:
• Notify you as soon as feasible, describing the breach, the information involved, and steps we are taking • Report the breach to the Office of the Privacy Commissioner of Canada • Notify any other organization or government institution that may be able to reduce the risk of harm • Maintain records of every breach of security safeguards for at least 24 months
